To All Club Members:

We have been working on finalizing our big 2010-2011 Club fund raiser to raise funds for our club's service projects as well as the Harold Key Scholarship Endowment Fund. The fund raising committee has come up with the idea to have a Mardi Gras-themed party on March 5 (the Saturday before Fat Tuesday). We need volunteers to step up and take charge of some key areas on the planning and execution of this event. Below are just a few of the areas:

1. Site/Location to hold the Mardi Gras party here in Arlington. Rolling Hills has been locked in for our event, but we will need people to coordinate with Rolling Hills CC.

2. Advertising. We will be selling tickets to the public and advertising to get people to attend the event. This will include preparing flyers, advertising the event in local media, and getting the word out to other Rotary Clubs in the District.

3. Food and Beverages. Deciding the type of food, whether to have it catered or utilize the site's catering service.

4. Decorations/Setup. Purchasing or creating Mardi Gras themed decorations for the event, determining the table layout at the event, and arranging for volunteers to help with the prep and setup if necessary.

5. Raffle/Silent Auction. This will include soliciting local businesses for donations as well as mailing out donation requests to a large database of businesses that I have. Also, we need people that will be in charge of the checkout for silent auction items and sell raffle tickets at the event and prior to the event at other Rotary Clubs and at other events.

6. Registration. This will include maintaining a list of RSVPs, assisting with advertising the event, and arranging check-in volunteers at the event.

7. Oversight. We need one or two people to be in charge of oversight of the above to make sure things are being accomplished, add any input, budget the event, and handle any major situations that may arise.

Above all, we are going to need everyone to participate and assist with this big event if it is going to be a success. This will be a major step in trying to begin what could be a traditional yearly fundraising event for our club. If you have a couple of preferences of which areas in which you can or would prefer to undertake, let me know, and I will try and fit you into that area.
